Pre-Wedding Tasks:

Expectations and design

  • Discuss wedding expectations 
  • Begin the concept design to implement your tastes through colors, flowers, attire, favors, and other thematic elements. This provides you with a well-thought out plan to work with and framework to build a storyboard.
  • Discuss wedding budget and set priorities
  • Discuss music options for ceremony and reception
  • Discuss favors for reception and provide suggestions

Managing vendors, including contract review and communications

  • Discuss industry professionals needed for ceremony and reception
  • Provide Bride with list of qualified and reliable vendors if further industry professional selections need to be made
  • Preliminary phone calls to industry professionals to verify availability of your wedding date
  • Set up appointments for Bride to visit with industry professionals
  • Review signed contracts (if any) of the industry professionals for the Bride and assess the arrangements made to identify any deficiencies
  • Payment schedules and balances due on contracts signed with industry professionals
  • Notify bride of all upcoming payment due dates
  • Create a ceremony and reception itinerary for the Bride and the contracted industry professionals
  • Distribute ceremony and reception itinerary to industry professionals
  • Distribute addresses and maps to ceremony and reception sites to industry professionals

Organization of guest lists and stationery

  • Discuss how to make your guest lists
  • Manage the guest list and RSVP’s on a database
  • Provide Bride with complete master guest list with all data
  • Discuss specifics for "Save the Date" cards and mail out (Bride responsible for postage)
  • Select wedding invitations from stationery books Ardent Events offers at a 20% discount
  • Assemble and mail invitations (Bride responsible for postage)
  • Select ceremony programs or other wedding accessories needed
  • Provide instructions on the proper way to address your wedding stationery

Coordination of rehearsal

  • Discuss locations for rehearsal dinner
  • Attend rehearsal at the ceremony site (1 ½ hours)
  • Direct rehearsal if allowed by minister and/or church (will assist or watch over if direction is not required)

Ceremony Tasks:      

  • Meet industry professionals at ceremony for deliveries and set-up
  • Coordinate House Party (if no House Party, pre-determined tasks will be performed)
  • Execute all ceremony plans and details with industry professionals
  • Distribute bouquets (if Bride is not using a full-service florist)
  • Collection of ceremony items (programs, unity candle, etc.)

Wedding Day Tasks:  

  • Meet industry professionals at reception for deliveries and set-up
  • Supervise reception and coordinate details of reception with industry professionals
  • Take care of any last minute details that might arise
  • Supervise loading of gifts into pre-designated car
  • Supervise boxing of cake topper and leftover cake
  • Supervise distribution of tossing items to guests
  • Provide emergency kit for small needs during the day

Other:       

  • Unlimited phone calls and email contact to discuss your wedding and answer any questions that you have during the planning process
  • Provide monthly calendars to keep bride on schedule for wedding tasks
  • Receive personalized binder for your wedding paperwork, contracts, and other materials
  • Provide monthly updates to your binder
  • Create Bride’s wedding day schedule
  • Provide information on obtaining marriage license
  • Discuss hotel accommodations for out of town guests & reserve block
